Data Retention & Refresh Summary

This document provides a high-level overview of Minotaur.io LLC’s data retention and refresh practices.

1. Purpose of This Summary

This document supplements the Minotaur Privacy Policy and outlines the general lifecycle principles governing data stored or made accessible through Minotaur Sales and Minotaur ATS. It is intended to provide transparency regarding how different categories of data are maintained, refreshed, and removed.

2. Categories of Data Covered

This summary applies to the following categories of data:
(a) Account Data (user accounts and administrative information)
(b) Client-Uploaded Data within Minotaur ATS and Minotaur Sales
(c) Professional and Business Contact Data made available through Minotaur Sales
(d) Collaborative Candidate Data within Minotaur ATS
(e) Platform Usage and System Logs

3. Account Data Retention

Account data is retained while an account remains active. Upon account closure, account data may be retained for a limited period for security, billing, legal compliance, and dispute resolution purposes before deletion or anonymization.

4. Client-Uploaded Data Retention

Client-uploaded data within Minotaur ATS or Minotaur Sales is retained in accordance with customer instructions and subscription status. Upon termination of services, data may be returned or deleted according to contractual terms, subject to legal retention requirements.

5. Professional & Business Contact Data Refresh

Professional and business contact data made available through Minotaur Sales is periodically reviewed and refreshed using commercially licensed sources and validation tools. Data that is determined to be outdated, invalid, or no longer authorized may be corrected, suppressed, or removed.

Specific refresh and purge intervals are defined in internal governance documentation and may be updated to reflect regulatory or operational requirements.

6. Collaborative Candidate Data Governance

Collaborative candidate data may be subject to visibility controls, regional segmentation, and platform access limitations. Candidates may be withdrawn from collaborative environments, after which they will no longer be available for new reveals.

7. Time-Bound Access Controls

Access to certain professional or candidate data may be governed by platform-based entitlement controls. Such access may expire based on internal governance rules. Expiration affects access rights and does not necessarily result in deletion of the underlying record.

8. Suppression and Removal Requests

Individuals may request access, correction, or deletion of their personal information consistent with applicable law. Upon verification, Minotaur will evaluate and process such requests in accordance with regulatory requirements.

9. System Logs and Security Records

Platform usage logs, reveal records, and export activity may be retained for security monitoring, fraud prevention, compliance, and audit purposes. Such logs are maintained in accordance with internal governance controls.

10. International Considerations

Where applicable, retention and refresh practices are implemented in a manner consistent with international data protection laws and cross-border transfer safeguards.

This summary may be updated periodically to reflect improvements in governance practices or regulatory requirements.
